August 15th 2020United Court Pikes Peak Empire Board of Advisors meeting 

BOA and members present: Water Xaris – President; Adam Martinez – Vice PresidentMesha Narie Fierce – Recording Secretary; Carroll Hillebrand – Treasurer; Sean Andrews – Public Relations; Nic Grzecka – Emperor 44;Autumn Quinn – Empress 44 Sable Gordon – Co-Regent Counsel; Ed Sanders – Web Master 

Call to order: 12:18pmWater Xaris, President, presided the meeting. 

President Report- No significant activity to report 

Vice President Report – No significant activity to report 

Secretary Report – No significant activity to report 

Treasurer Report – Carroll presented details on finances as well as the bank balance. We are in balance with the Bank. BINGO account is doing extremely well. Adam motioned to accept the financial report, Sean second, with all in favor, motion passed.

Committee Report – No significant activities to report. 

State of the Reign Report – Nic and Autumn discussed the success of BINGO and Queen of Hearts and will continue to be hosted at Club Q weekly. PR Ball was discussed and finalized. There will be a picnic with Reign 44 at Rampart Range in September, more details are to come and will be announced.  

State of the Regents Report – Sable discussed ideas for fundraisers. There will be a brunch meeting with the Regents on September 13th at 10:30am at Club Q. Topic of discussion will be decision for current Reign and Coronation amid COVID-19. 

Old Business – After discussing the success of BINGO, quality and/or fun prizes are suggested. Nic motioned to spend up to $100 per month on BINGO prizes, Sable second, with all in favor, motion passed. Explanation of a recent grievance from a member of the BIPOC organization was discussed, the incident did not involve UCPPE or its members, but was addressed. The Games Managers are doing a phenomenal job with over $2,000 raised in only the past 2 months. Google Suite is predicted to be available for operation in the next month. A few board members attended the Transgender Sensitivity Training on July 14th. Continued Sensitivity training is in the plans.    

New Business – No new information to relay with regards to COVID-19. Plans for Coronation was discussed, with the possibility to extend Reign 44 and move Coronation, or to hold an E&E Ball in place of Coronation and Reign 44 will roll into Reign 45 to avoid unfairness of tradition to stepping down and stepping up of Monarch’s amid COVID-19, as well as to avoid conflict of timeliness of UCPPE Reign’s. Anniversary Monarch’s will continue to be honored as tradition, so there is no disruption in timeliness regardless of current events, however, there may need to be adjustments in how we honor our Anniversary Monarch’s. General Membership will continue as is, elections for candid ants are suspended. Sean motioned to extend Reign 44 through 45, Carroll second, with all in favor, motion passed. Further explanation will be presented at the Regents meeting. A “New Norm” for Coronations and how a Reign will operate will be decided once there is a vaccine or an approved solution to conduct big events across the State and/or USA.  Black & White Ball will be held on October 10th at Club Q. 

 With no further discussion, next meeting is set for September 13th following the Regents meeting at Club Q.
