April 17th 2021, United Court Pikes Peak Empire Board of Advisors meeting
BOA and members present: Adam Martinez – Vice President; Mesha Narie Fierce – Recording Secretary; Carroll Hillebrand – Treasurer; Sean Andrews – Public Relations; Nic Grzecka – Emperor 44, 45; Autumn Quinn – Empress 44, 45; Archie Neil – Games Manager; Sable Gordon – Regent Co-Council; Sean Gooden – Regent Co-Council; Ed Sanders – Membership Chair; Joseph Shelton – Correspondence Secretary
Call to order: 10:06am; Adam Martinez, Vice President, presided the meeting.
President Report- No significant activity to report
Vice President Report – No significant activity to report
Secretary Report – No significant activity to report
Treasurer Report – Carroll presented details for the finances and each account. Sean Andrews motioned to accept the financial report, Nic second, with all in favor, motion passed.
Committee Report – No significant activities to report.
State of the Reign Report – Nic and Autumn discussed details of recent and upcoming events. Nic and Autumn had dinner with Queen Mother, Sable Gordon to discuss ideas for events and fundraisers.
State of the Regents Report – Sable and Sean Gooden discussed potential activities for fundraising. Assisting with Black and White Ball planning. Discussed activities and events at potential venues. Upcoming events: Prince and Princess Royal Ball – August 9th; Candidate Show – October 29th; Voting for Emperor, Empress and/or Emprex – November 7th.
Old Business – Adam discussed vacancies. Update on COVID-19 mandates, masks are still required to be worn while moving around inside the building, outdoor patio is optional while at Club Q. With no nominees for the vacant position and for electing Vice President and Recording Secretary, Nic motioned to reelect Mesha as the Recording Secretary, Sable second, in discussion, Mesha accepted, with a caveat – to be granted a gracious resignation should she be elected as Empress. With all in favor, motion passed, Mesha Narie Fierce will continue to serve as Recording Secretary until further notice. Carroll motioned to reelect Adam as the Vice President, Nic second, in discussion, Adam accepted, with a caveat – to be granted a gracious resignation after six months and for the Board to continue to seek potential candidates. With all in favor, motion passed, Adam Martinez, aka, Connie Lingus will continue to serve as Vice President for the next six months.
New Business – Nic presented and discussed a Code of Conduct for Club Q as well as to implement the same for UCPPE, after discussion it was agreed to implement the Code of Conduct and will be posted on the UCPPE website. Ed discussed the website and the current challenges with costs and operations, after discussion, the topic will be tabled until further
research is conducted and will revisit this concern. As of now, we will continue with the current service. Storage unit needs to be cleared no later than 23 April.
Educational Segment – Sean Gooden and Nic discussed potential plans for sensitivity trainings.
